Company is growing and needs a remote accountant/office assistant to perform and manage office operations, including administration, accounts receivable, accounts payable, costing, certified payroll reporting, AIA progressive billing, document organization, and help manage sales, calendar, transactions, records, emails and various departments.
Klēn Space is a cleaning company with government and commercial clients along the East Coast. This requires strict adherence to various billing and invoicing policies for each project. Although we work with the government and employ field workers, we pride ourselves on being an innovative, technology-savvy company.
You must be able to work in the Eastern time zone (New York) and ideally 20-25 hours per week using time-tracking software (although, for the right candidate, we would consider a part-time position). The position is available immediately.

Main duties and responsibilities :
General office and billing management involves the following tasks:
- Check billing data for accuracy and correct any errors.
- Create detailed statements, invoices and other necessary billing documents, which may involve calculating credit terms, shipping costs, discounts and cost of goods.
- Records amounts due for items purchased or services rendered.
- Perform general accounting work on a costing basis, which may include data entry and maintenance of records, invoices and vouchers for amounts due for items purchased or services rendered.
- Create billing document vouchers for every type of project, from G7202 payment requests to certified payroll reports and hourly billing.
- Contact customers and subcontractors to obtain, verify and update account information, if necessary.
- Set-up and administration of contracts/projects/vendors, including W-9s and COIs.
- Highlight any discrepancies between journals and billing accounts.
- Initiate and establish new procedures for remote office administration and billing tasks.
- Ensuring insurance and corporate compliance and renewals
- Email, document and schedule management
- Perform other related tasks as required.
Accounts payable involves managing outgoing invoices on behalf of the company. These invoices may include utility payments, inventory invoices, expense accounts and employee reimbursements, involving the following tasks:

- Update and maintain expense records.
- Check invoices for accuracy before sending payments
- Answering supplier invoices
- ensure that all payments are made in accordance with company policy
- Ensure that all payments are sent on time
- Resolve payment discrepancies and disputes on behalf of the company
- Complete each employee's certified weekly payroll for each project, showing hours and pay for the week in question, and include proof of pay stubs.
- Submit these certified payslips to the government on a monthly basis as a single PDF with cover page and invoice.
Debit accounting involves managing incoming payments on behalf of the company, which entails the following tasks:
- Prepare and e-mail invoices to customers, along with supporting documents, which sometimes include certified payroll reports.
- Record payments on customer accounts
- organize and file deposit receipts as invoices are paid
- prepare reports on overdue accounts and customer payment profiles
- Reconciling cash receipts and deposits
- Analyze financial records for accuracy
Skills and knowledge required:
- Good understanding of administrative and office procedures.
- Excellent written and verbal communication skills.
- Excellent organizational and time management skills.
- Excellent attention to detail.
- Ability to produce certified payroll reports.
- Proactivity and ability to solve problems as they arise.
- Proficiency in Microsoft Office Suite or similar software.
- Mastery of AIA documentation and job costing.
Education and experience :
- High school diploma or equivalent required.
- An associate's degree or training at a vocational school is preferable in accounting, finance or payroll accounting.
Hardware requirements :
Long periods sitting at a desk, working on a computer.

English (required)

- Salary is negotiable depending on experience and certifications (e.g. 28 $ - 36 $/hr).
